Located in the Eastern Suburbs of Melbourne, The Victorian Rehabilitation Centre is a 90 bed Rehabilitation Hospital, offering a range of Inpatient, Day programs and Outreach services. Due to the current Administration manager going on Maternity Leave, we are looking for candidates in covering the role of Administration Manager during a maternity leave period for 9-12 months.
Are you an experienced and driven professional with a passion for healthcare operations? We’re seeking a dynamic Administration Manager to join The Victorian Rehabilitation Centre and lead the delivery of efficient, high-quality administrative support services. The ideal candidate brings strong leadership, exceptional organisational skills and a commitment to enhancing patient care through operational excellence. In this role you will oversee daily non-clinical operations, manage administrative staff, optimise workflows and ensure compliance with healthcare regulations.
Key Responsibilities:
· Oversee hospital administration processes from pre-admissions to discharge, including:
· Admission paperwork (Informed Financial Consents and Hospital claim forms)
· Private health fund eligibility
· Patient accounts, billing, debtor collection, and accounts payable
· Manage rosters, staffing, and supervision of administration teams (reception, outpatients, ward clerks, pre-admissions, discharges, bookings).
· Drive process review and change management initiatives.
· Handle enquiries and complaint resolution professionally.
· Assist and coordinate internal and external audits.
· Maintain a positive and collaborative team environment and promote an efficient business culture.
· Participate in Head of Department meetings as required to support departmental objectives.
Desirable Skills & Experience:
· Working knowledge of patient management systems (WebPAS) and proficiency in Microsoft Office applications.
· Sound understanding of medical terminology.
· Excellent interpersonal, verbal, and written communication skills.
· Strong organisational and time management abilities, with capacity to multi-task.
· Professional and pleasant demeanour, with ability to build positive relationships internally and externally.
· Flexibility to embrace change and willingness to learn new tasks.
· Ability to work autonomously and collaboratively within the scope of the role.
