John Fawkner Private Hospital is seeking a highly experienced Administration Manager to lead the delivery of efficient, compliant and patient-centred administrative services. As a key hospital leader, the role drives operational excellent and patient flow optimisation to create an industry-leading patient experience.  The role works closely with the Director of Finance and Support Services and broader leadership team to create and implement strategies that support the hospital’s financial, operational and patient flow objectives.

This is a pivotal leadership role where you will influence patient flow, operational efficiency and customer experience while leading a large and diverse administration team.

About the Role

As Administration Manager, you will:

Lead a High-Performing Team

  • Inspire, coach and develop administration teams to achieve outstanding results.
  • Drive workforce planning, rostering and capability development.
  • Foster a positive, values-led and safety-focused culture.
  • Manage employee performance across the full employment lifecycle.

Enhance the Patient Experience

  • Ensure seamless patient administration processes from booking through to discharge and billing.
  • Deliver exceptional service to patients, families, visiting medical officers and key stakeholders.
  • Maintain high standards of patient privacy, confidentiality and data accuracy.
  • Lead continuous improvement initiatives and quality activities.

Drive Operational Excellence

  • Lead and coordinate administration processes that support efficient patient flow across the hospital, including admissions, theatre scheduling, patient access and discharge processes.
  • Partner with clinical and operational leaders to improve throughput, reduce delays and enhance the patient journey.
  • Monitor and improve key performance indicators across quality, service and financial outcomes.
  • Act as the escalation point for administration and patient access issues.
  • Support hospital-wide initiatives that improve efficiency and patient access.

Deliver Business Outcomes

  • Use data and performance metrics to drive operational improvements.
  • Partner with the Director of Finance and Support Services to support strategic initiatives that enhance patient flow, operational performance and commercial outcomes.
  • Lead administration service improvements that align with the hospital's long-term growth and operational objectives
  • Partner closely with clinical leaders, finance teams and key stakeholders to achieve organisational goals.
  • Support revenue cycle performance through effective oversight of patient administration, billing processes and financial clearance activities.
  • Utilise financial and operational data to identify opportunities for improvement and drive sustainable outcomes.

About You

Essential Criteria

  • Proven leadership experience managing administration or operational teams.
  • Experience leading staff performance, development and engagement.
  • Demonstrated success managing KPIs across workforce, quality and financial outcomes.
  • Strong stakeholder management skills with the ability to influence and collaborate effectively.
  • Experience implementing process improvements and driving change initiatives.
  • Exceptional communication, problem-solving and decision-making capabilities.
  • Demonstrated strategic thinking capability with the ability to align operational priorities to broader organisational objectives
  • Proven ability to build relationships and influence outcomes across multidisciplinary stakeholder groups.

Desirable Criteria

  • Experience working within an accredited healthcare environment and a sound understanding of National Safety and Quality Health Service (NSQHS) Standards.
  • WebPAS Patient Management System knowledge
  • Health fund contracts knowledge

Qualifications

Mandatory

  • Diploma qualification in Frontline Management, Business Management or a related discipline (or working towards completion).

Desirable

  • Bachelor's degree in Healthcare Management, Business or a related discipline (or working towards completion).

John Fawkner Private Hospital is located in the northwest of Melbourne.  With 186 registered beds, a 12 cubicle Emergency Department, 5 operating theatres, 12 bed critical care complex and busy Day Procedure Unit the hospital provides a wide range of services to its community.  The hospital specialises in orthopaedics, general surgery, general medicine, oncology, cardiology, urology, plastic surgery, ENT and gynaecology.
