About the role:
Our Administration Team have a vacancy both full time and part time positions for enthusiastic and motivated individuals to work alongside our team of Administration staff in supporting the hospital’s Admissions and Reception.
About Us:
Located on Malvern Road in Prahran, The Victoria Clinic is a 115 patient-bed private psychiatric facility that specialises in the provision of high-quality inpatient and outpatient mental health services. All treatments offered are aimed at helping people improve their psychological and emotional well-being in a safe and supportive environment. Individuals are exposed to a variety of therapeutic, recreational and occupational activities as a means of restoring health.
The Victoria Clinic offers a supportive and friendly environment with professional development opportunities. It is close to public transport, has free onsite parking and is close to Chapel Street restaurants and shopping.
Essential Criteria:
- Excellent interpersonal and communication skills
- Highly developed organisational skills with the ability to prioritise tasks and meet deadlines in a fast-paced environment
- Strong attention to detail
- Experience in MS Office (Outlook, Word, and Excel)
- Works well independently and within a team
- WebPas Hospital system, Zedmed software experience (Desired)
Key Responsibilities:
- Perform a broad range of administration duties including
- Manage a busy reception desk
- Answer and redirect calls
- Organise appointments and prepare admission paperwork
- Conduct follow-up requests and make reminder calls for visits
- Maintain accurate and effective record management systems including preparation of medical record
- Perform Health Fund Checks as required
- Manage the collection of excesses/co payments
- Coordinate with staff from other departments
- Complete other clerical tasks such as data entry
