About the Role
An exciting job opportunity has arisen for a dynamic individual with experience in a high functioning Executive Assistant to join our Executive team.
Melbourne Private Hospital is seeking an experienced EA who will take initiative and anticipate key events, identify opportunities to streamline processes and keep the Executive team informed of upcoming priorities. You will be competent in managing complex and frequently changing schedules, build strong relationships, be highly organised and manage sensitive information in a confidential manner.
You will be supporting a fast paced, high energy executive team, with a broad portfolio consisting of internal and external stakeholders.
This position will be a permanent, full-time role, based on site at the Parkville location and working hours will Monday- Friday, 8am- 4pm.
About Us
Melbourne Private hospital is a 124- bed private hospital co- located at the Royal Melbourne in the heart of Parkville, 1.7km from Melbourne CBD. Our hospital offers highly specialised services including extensive neurosurgery, neurology, advanced coronary care, cardiothoracic, orthopaedic, and general surgery. These services are supported by a 10 bed intensive care unit, 4 bed acute coronary care unit and 6 bed neurosurgical high dependency unit.
Key Responsibilities as the Executive Assistant to the General Manager (GM) & Director of Nursing (DON) you will be responsible for 2 key areas:
Provide organisational and administrative support to the GM & DON to enable them to execute the role efficiently;
- Including diary management, liaising with internal, external and international personnel regarding complex diary and meeting management.
- Coordinate executive communications, including, taking calls, responding to emails, drafting correspondence, oversee the creation of documents, minute taker and distribution of minutes, various reports, agendas and presentations
- Maintaining an organised filing system of paper and electronic documents
- Contribute to a team environment, working collaboratively in sharing and generating ideas, empowered to achieve outcomes.
- Act as the site’s IT Coordinator
Specialist Accreditation related matters including:
- Organise and maintain the accreditation of all VMO using the eCredentialing system
Essential Criteria
- Three years executive administration experience in a busy and professional environment (Medical background preferred)
- Advanced computer skills in MS Office (Outlook, Word, Excel and PowerPoint)
- Highly developed organisational skills with the ability to prioritise tasks and meet deadlines in a fast-paced environment
- High level attention to detail, including in written materials
- Strong organisational and time management skills with the ability to multitask
- Excellent interpersonal and communication skills
- High level of confidentiality
- Ability to work autonomously and within a team
- Ability to follow instructions and take directions
