Executive Assistant - Director Perioperative Services
About the role
Gold Coast Private Hospital is seeking an experienced Executive Assistant to join our busy Theatre team supporting our Perioperative Services team on a full-time basis.
This role is responsible for assisting the Perioperative Services Manager with all business matters and supporting the Theatre reception team, displaying exemplary customer service at all times, and providing administrative support for the Theatre team as required.

Key Responsibilities:
- Assist Gold Coast Private Hospital’s Perioperative Services Manager with all business matters.
- Manage the Perioperative Services Manager and Theatre mailbox by reviewing all emails, flagging any requiring urgent attention, and responding where possible on behalf of the team.
- Manage incoming calls to the Perioperative Services Manager by screening, delegating and responding to calls and acting on behalf of the Perioperative Services Manager
- Coordinate extensive diary management for the Perioperative Service Manager/Theatre, ensuring daily commitments are appropriately prioritised and meet the priorities of the business imperatives.
- Establish and Maintain and enter VMO Leave requests into the Patient Management System and appropriate calendars. Support our VMO partners by establishing and maintaining professional working relationships with a customer-service mindset.
- Undertake daily theatre administration duties such as – Theatre Usage, Linen/Stationary Ordering, Scanning of documents, audits, daily validations, Daily report running,
- Support Healthscope’s quality improvement and achievement of accreditation by actively participating in department meetings, audits and quality activities,
- Maintain management of documentation, records and office systems for ease of access of information used by the Executive Team.
Essential criteria:
- Previous executive administration or Theatre experience (highly regarded)
- Advanced computer skills in MS Office (Outlook, Word, Excel and PowerPoint)
- Highly developed organisational and time management skills with the ability to prioritise tasks and meet deadlines in a fast-paced environment
- High level attention to detail and strong written communication skills
- Outstanding customer service, excellent interpersonal and communication skills
- Advanced critical thinking skills
- Diploma level qualification in Business Administration or related discipline. Applicants with a Bachelor level qualification in Business, Marketing or related discipline will be highly regarded.
- Ability to work autonomously and within a team
- Ability to follow instructions and take directions
- Previous administrative experience in a hospital/health care environment is desirable
